Job Description

AVIAREPS UK is a subsidiary of AVIAREPS AG, a leading global travel and tourism representation company in 46 countries to more than 200 global tourism clients with over 600 staff worldwide. We're searching for a dynamic Senior Events Coordinator to manage a variety of events throughout the year. This is an exciting opportunity for a self-motivated individual with a can-do attitude looking for their next challenge.

 Main Objectives:

  • To create and deliver B2B & B2C events for clients, managing all events aspects from logistic and recruitment to post event evaluation and reporting
  • To work with our clients to achieve a successful event at all levels
  • To liaise with clients and suppliers to achieve results in most economical way
  • To help on the acquisition of new clients through proposal contributions

 Responsible for:

  • Event conceptualisation, venue sourcing, and full event planning
  • Preparation of and management of budgets
  • Attendee recruitment (primarily over the phone; also over email): normally travel agents, tours operators and journalists
  • Creation of event itineraries, timeline and briefing
  • Successful event execution and delivery
  • Post-event wrap-up, briefing and reporting
  • Client reporting and follow-up where needed
  • Securing event sponsorship where applicable
  • Participation in functions and meetings
  • Creative ideation on various branding and event concepts for client pitches
  • Assist in RFPs (Request For Proposals)
  • Manage database and acquiring target markets
  • Ensuring compliance with venue guidelines and any legal requirements where applicable

 Core Skills Required: 

Education:

  • Excellent written and spoken English
  • Excellent working knowledge of Microsoft Word®, Excel® and PowerPoint® 
  • Good numerical skills

 Experience:

  • Minimum 2 years’ experience of working in the B2B and B2C events sector
  • Experience in the travel sector (Tourism Boards, Hotels, etc.) preferred but not essential
  • Good organisational and planning skills and the ability to multi-task
  • Negotiating skills
  • Previous sales experience would be preferable
  • Experience of e-mail marketing

 Personal qualities:

  • Must be fluent in oral and written English
  • Foreign Language skills are a preferable but not mandatory (Spanish or French)
  • Ability to work under pressure, unsupervised and to strict deadlines
  • Excellent team player with lots of self-motivation
  • Exceptional written and verbal skills
  • Good attention to detail and accuracy
  • Ability to prioritise work flow
  • Excellent time management
  • Excellent telephone manner
  • Ability to communicate at all levels
  • Flexible and eager to learn

Salary range:

  • £24k - £26k depending on experience
